Service Policy

 

At Berenice’s Hair, every service is tailored to highlight your natural beauty while protecting the integrity of your own hair.

 

By Appointment Only

Berenice’s Hair cannot accommodate walk-ins. To schedule a reservation, please book a consultation (new clients), or visit your profile (returning clients).

 

No Children

Berenice’s Hair provides guests with a calm, relaxing atmosphere. It is not a safe or suitable environment for children. Clients must make childcare arrangements prior to visiting, as children are not permitted in the studio. Clients who arrive with children will be requested to reschedule, as there are no exceptions to this policy.

 

Consultations

A $50 consultation fee is required to reserve your appointment.
This fee secures your appointment time and allows us to prepare personalized recommendations, colour matching, and hair samples in advance.

Please note:

  • The consultation fee is non-applicable toward future services and does not count as a deposit for a new set of hair extensions, hair system, or topper.

  • If the consultation is cancelled at least 24 hours in advance, the fee is fully refundable.

  • Cancellations made within 24 hours are non-refundable.

Booking & Deposits

A deposit may be required to secure service appointments beyond a consultation.
This deposit confirms your reservation and allows us to allocate time and resources for your custom project.

  • Deposits are fully refundable if cancelled 24+ hours in advance.

  • Deposits become non-refundable if cancelled within 24 hours of the scheduled appointment.

  • Deposits for custom hair orders (extensions, systems, or toppers) are non-refundable once the proposal is accepted, as preparation begins immediately.

Cancellation of Custom Hair Orders

Once a new set of hair extensions, hair system, or topper has been confirmed and accepted under a proposal, the materials are custom-ordered and prepared specifically for you.

​

Because these are personalized and cannot be repurposed, all such custom hair orders and proposal deposits are non-refundable, even if the appointment is later cancelled.

​

Preparation, ordering, and customization of your selected hair begin immediately upon acceptance of the proposal, and because each set is tailored to your colour, texture, and measurements, the process cannot be paused or reversed once started.

Service Adjustments & Client Responsibility

At Berenice’s Hair, all services are performed with the utmost care and professional standards.


However, results may vary depending on your natural hair condition, previous chemical treatments, and adherence to aftercare instructions.

If you experience any concerns with your extensions or hair system, please contact us within 48 hours of your appointment.
We’ll be happy to assess and make reasonable adjustments to ensure your satisfaction.

Please note that service payments are non-refundable, and Berenice’s Hair cannot be held responsible for damage resulting from improper maintenance, external factors, or failure to follow professional aftercare guidance.

​

By proceeding with your service, you acknowledge that your stylist has explained potential risks and that individual results may vary.

​

No Service Refunds

All service payments are final.


Hair extension, hair system, and topper applications are highly customized and require extensive preparation and technician time.


Because of this, no refunds will be issued for services rendered, regardless of the outcome or level of satisfaction.

If you have any concerns about your results, please contact us within 48 hours of your appointment — we’ll gladly assess and make reasonable adjustments to ensure you’re comfortable and confident with your new look.

Duty to Inform

For the safety and success of your service, clients are responsible for disclosing all relevant information regarding:

  • Medical or scalp conditions

  • Allergies or sensitivities

  • Previous chemical treatments (such as keratin, relaxers, or bleaching)

  • Recent hair loss, thinning, or excessive shedding

​

Failure to provide accurate information may affect the final result or limit the types of services that can be safely performed.
Berenice’s Hair cannot be held responsible for adverse outcomes caused by withheld information.

Refusal of Service

We reserve the right to refuse or discontinue service at any time if:

  • There are contraindications that make the service unsafe.

  • The client shows signs of scalp, skin, or health conditions that may interfere with the procedure.

  • The client demonstrates disrespectful, aggressive, or inappropriate behavior.

  • The professional relationship or trust between the client and stylist has been compromised.

  • The client repeatedly disregards professional advice, aftercare instructions, or studio policies.

Our goal is to maintain a calm, safe, and respectful environment for every guest.
